Job Description Summary

Plan, coordinate, and oversee all aspects of facility and game management for all athletic and special events held in the Student Development Complex, John MacInnes Student Ice Arena, Gates Tennis Center, trail system, Sherman Field at Kearly Stadium, and other surrounding outdoor venues. Responsible for planning game operations and staffing for off-sight athletic and recreation events. Ensure that programs and activities within the Department of Athletics and Recreation are consistent with the mission and goals of the University and contribute to enrich the quality of life for all student-athletes, students, faculty, staff, and external customers.
Responsible for the skate rental center, multipurpose room desk operations, athletic equipment and laundry operations. Update and enforce Equipment Room policies and procedures to ensure efficient use of resources, order all equipment requested by coaches and staff, research equipment in need, coordinate and oversee the delivery and receiving of equipment from vendors, organize and oversee the distribution and collection of equipment before and after every sport season, develop and enhance contracts and relationships with vendors, determine the equipment needs for all programs while submitting a balanced budget for each sport, ensure the proper and safe fitting of equipment for student-athletes, maintain student-athlete issue and billing records, maintain a detailed equipment inventory, report and maintain equipment as needed, assign athletic team lockers and oversee organization and maintenance of athletic locker rooms. Schedule, recruit, train, and supervise all student team managers and student employees.

Essential Duties & Responsibilities (other duties may be assigned)

• Assist the Director of EVent and Ticket Operations and Senior Associate Athletic Director in the planning, coordinating, and directing daily operations and events for Athletics, Recreation, and Special Events.
• Effectively hire, train, motivate, supervise, develop, evaluate, and establish staffing schedules for part time, temporary employees, and student workers to meet established standards for all athletic and recreation facilities and areas.
• Ensure that consistent, high quality customer service is provided to all students, staff, and external customers.
• Conduct frequent inspection of assigned areas and staff performance to assure that all work is being carried out in a proper and orderly manner.
• Formulate, enforce, and recommend policies and procedures governing the operation of the facility or function and see that all are adhered to.
• Assist the general public, students, and departments on campus with information concerning all operating facilities and activities.
• Accountable for the operation of all units in the SDC, during evening and weekend hours concerning staff, security, and safety.
• Evaluate and improve customer service and satisfaction through continual interfacing with customers.
• Plan, coordinate, and oversee all pre-event set ups and post-event tear down, field maintenance and painting.
• Serve as the event/game manager for all athletic and special events conducted at the SDC and all athletic and recreational facilities as assigned.
• Hire, train, and schedule all support staff including game operations, ushers, ticket takers, and hosts for all athletic and special events.
• Hire, train, and schedule all support staff for the multipurpose desk and skate rental center.
• Assist in conducting CCHA, GLIAC, and NCAA postseason championship events.
• Participate in strategic decision making for all facility operations and attend departmental operations and planning meetings.
• Assist with emergency plans, evacuations, and assist response teams in mock and actual disasters.
• Promote, evaluate, and improve services, facilities, and equipment for student-athletes, coaches, students, staff, faculty, and external customers.
• Provide information concerning Athletics & Recreation facilities, programs, services, equipment, policies, and procedures.
• Resolve complaints and facilitate problem solving and satisfaction through continual interfacing with all customers.
• Promote the operational schedule and preparation for all facilities events to generate revenue and provide service to students, staff, and external customers.
• Ensure all NCAA compliance is followed for athletic events.
• Manage all aspects of the equipment budgets for all 15 varsity athletic programs.
• Oversee the operations of the skate rental center and the multipurpose desk.
• Direct, manage, implement, and develop ongoing policies and procedures for all equipment related decisions with emphasis on risk management and safety of all student-athletes.
• Direct, organize and manage all equipment purchasing.
• Direct, recruit, train, evaluate, and supervise all equipment, laundry room, and skate rental staff.
• Attend regional and national conference meetings annually.
• Commit to learning about continuous improvement strategies and applying them to everyday work. Actively engage in University continuous improvement initiatives.

Required Education, Certifications, Licensures (minimum requirements)

● Bachelor’s degree in sport and fitness management, athletic, facility management, business management, or related field, or an equivalent combination of education, training, and experience from which comparable knowledge and abilities can be acquired.

Required Experience (minimum requirements)

● Demonstrated experience working with the general public and customers in an athletic environment.
● Demonstrated experience planning and executing events.
● Demonstrated experience working with personal computers including a working knowledge of databases and spreadsheets.
● Demonstrated ability and evidence of commitment to work with a diverse group of students, staff and community members.
● Demonstrated ability and willingness to work evening and weekend hours.
● 2 years working in an athletic department or athletic event management position.

Desirable Education and/or Experience

● AEMA certification
● CEFMA certification
● Master degree in Business or Sport Administration
● Demonstrated experience working with Athletic Equipment for various collegiate sports.

KNOWLEDGE, SKILLS and/or ABILITIES:
● Strong knowledge of athletics, organization, and management procedures
● Excellent time management, organizational and communication skills.
● High energy person and ability to work well with coaches, student-athletes, staff, students, officials, and conference office staff.
● Knowledge of NCAA rules and regulations.
● Frequent evening and weekend work is required.
● Demonstrated ability to communicate effectively across cultural boundaries and work harmoniously with diverse groups of students, faculty, and staff.
● Demonstrated leadership of safety principles and practices.
● Demonstrated commitment to contribute to a safe work environment.
