The College seeks a highly organized, proactive professional to serve as the Manager of Administration and Executive Assistant to the Dean. This role supports the Dean by managing calendars, communications, and special projects while overseeing key administrative and operational processes within the College. Responsibilities Serve as the executive assistant to the dean including overseeing theimplementation and management of college priorities and special projects. Manage the dean’s calendar, maintain office files and records, communicate to internal and external constituents on the dean’s behalf, analyze requests before dean approval, participate in meetings, and assist the dean with confidential matters. Collaborate with the dean and others to help craft and realize the college’s strategy, vision, and goals, and promote cooperation and collegiality. Promote effective workflow within the college. Collaborate with the Executive Team to gather information before meetings, send agendas, and follow up afterward to ensure everyone is clear on the next steps and follow-up actions. Help facilitate the leadership team’s ability to prioritize time on the right initiatives. Analyze, compare, and evaluate various courses of action (project management) and make independent recommendations on matters of significance within the scope of position responsibilities to implement the spirit of collaboration and Michigan Tech policies and college priorities.Coordinate the dean’s travel and travel itineraries. Serve as a member of the CC governance committee(s), including Computing Council. Administer and coordinate the tenure, promotion, and review process in the college units. Coordinate and administer the binder process with department coordinators. Oversee the development, implementation, and maintenance of directories, master calendar and various other spreadsheets and databases. Executive authority for signature approval and decision-making as delegated by the dean. Oversee and manage the administration of hiring, including search committee activities and processes for faculty, staff, and students. Oversee and coordinate with department coordinators and office assistant the recruiting activities, exploration schedules, school events, such as graduation receptions, open house, leading scholars, etc. Oversee and manage the college’s Ambassador program. Work closely with the Director of Finance and Data Operations reviewingstudent payroll, faculty payroll, and developing college processes and procedures. Track all curriculum proposals in the college. Coordinate space/facility use including approval of office assignments, key requests and building access. Supervise the college coordinator and/or the office assistant in the college and train new staff as needed. Create informative and supportive lines of communication and relationships with cooperating units to minimizing barriers to inclusion of computing into other programs.Commit to learning about continuous improvement strategies and applying them to everyday work. Actively engage in University continuous improvement initiatives. Apply safety-related knowledge, skills, and practices to everyday work. Required Education, Certifications, Licensures Bachelor’s Degree or an equivalent combination of education and experiencefrom which comparable knowledge or abilities can be required. Required Experience Proven positive attitude with excellent oral/written communication,presentation, customer service, and interpersonal skills. Experience with the tenure, promotion and retention (TPR) process. Experience with all aspects of the hiring process at all levels, including faculty and staff positions. Proven ability to manage multiple projects including space and building planning. Relevant administrative experience organizing and coordinating multiple projects and tasks. Experience using a variety of software packages including, but not limited to Microsoft Office applications and Google Suite. Experience working with confidential information.
