Summary

Oversees the administration of the Department of Social Sciences.

Responsibilities 

1. Monitoring the expenses of the department and providing the Chair with monthly updates on the department’s budget to ensure the department’s fiscal integrity; processing funding transfers, payroll changes, check requests, and reimbursements; reconciling the department’s purchasing card; and performing all other accounting-related activities involving departmental indexes.
2. Maintaining a master calendar of administrative tasks, such as deadlines for course scheduling, PTR reviews, elections, webpage reviews, etc.; organizing departmental files and documents while maintaining the appropriate level of confidentially and access for different types of files; drafting correspondence related to the administration of the department.
3. Assisting PIs by serving as a liaison with sponsored programs; and assisting with post-award accounting.
4. Serving as the liaison between the Chair, faculty, and registrar in coordinating the scheduling of courses and making curricular changes.
5. Coordinating the activities of the Chair, PTR committee, and faculty members in the execution of PTR, teaching, and assessment reviews.
6. Serving as the department’s space, facilities, and safety coordinator.
7. Assisting the Graduate Director with the administration of the graduate programs; assisting the Undergraduate Director with the administration of the undergraduate program.
8. Generating reports from university databases as requested by faculty.
9. Planning of department events initiated by the Chair.
10. Overseeing the efforts of the department’s administrative assistant and/or other part-time workers, which includes assigning administrative tasks associated with maintaining supplies, updating departmental documents and webpages, the posting of departmental information on social media, and event planning.
11. Collaborate as needed with College Dean’s office on financial management or other resource needs
12. Other duties as assigned.
13. Commit to learning about continuous improvement strategies and applying them to everyday work. Actively engage in university continuous improvement initiatives.
14. Apply safety-related knowledge, skills, and practices to everyday work.

Required Education, Certifications, Licensures

A college degree or an equivalent combination of education and experience from which comparable knowledge and abilities can be acquired.

Required Experience

• At least three years of experience in positions related to office management, with past responsibility for budgeting, compliance and/or assessment-related activities, document management, and scheduling.
• Experience using spreadsheets and other software tools at a skill level appropriate for the tasks above; e.g. being able to use formulas in spreadsheets, format tables, add signature fields to pdfs, generate reports, create basic macros, etc.
• Ability to use judgement when dealing with confidential information.
• Experience showing ability to work with attention to details and with accuracy.

Desirable Education and/or Experience

• Experience working in an academic setting.
• Experience working with Sponsored Programs procedures/requirements.
• Accounting or finance experience.

The noise level in the work environment is usually low to moderate.

Required Training and Other Conditions of Employment

Pay Rate/Salary

The anticipated salary range for this position is $52,000 - $57,000. However, the final salary will depend on experience and qualifications.
